TDOffice is aimed at companies that are looking for a maintenance management system that makes everyday work within the technical department easier and more fun. Thanks to the intuitive and functional design, every user can use TDOffice or TDOfficeMobile after a short training period.
Via the objects you can easily manage the data from your machinery. If necessary, create your own master card for each group of machines (object group). After all, you want to keep different data for a forklift truck than for a conveyor belt. Add files and photos to the objects, manage the bill of materials and view the history of maintenance, purchasing and costs per object. For each object or object group it can be set which preventive action (s) should be taken.
Simply place the objects in a tree structure. From the tree structure it is immediately clear where an object is. An object can possibly occur in several places in the tree structure. Notifications and work orders can be created from the tree structure.
Create request for malfunctions or, for example, points of attention. Entering a notification can be as simple as you wish. You decide which questions a notifications should consist of. Such as the object with the problem and/or the priority. You are completely in control of this. Files and photos can be added to notifications for clarification. Requests are used, among other things, to report malfunctions, incidents, modifications, etc. An object can be scanned by means of a QR or barcode, so that requestors can very easily pass on their faults etc. to the technical service.
Requests can be converted into work orders for the technical service.
Work orders is where the technical service sees and manages what is to be done. Work orders arise from notifications or preventive planning. In a work order, hours can be booked and parts can be issued, which ultimately leads to a cost overview.
Work orders can have activities, for each activity it is possible to keep track of what needs to be done and whether the activity is ready. Link a work order to one or more technicians to assign it. The technicians have insight into their own work orders and can easily open and solve them, including through our very user-friendly app. From a workorder you can create hour bookings, or give out spare parts and much more. A technician does not have to leave the work order to do his work.
Work orders can also be created and managed from our mobile app, TDOfficeMobile.
Within TDOffice we link objects to checklists. A checklist may be linked to several objects, an object may also be linked to several checklists. Each checklist has an interval. This interval can be date or position controlled. Per checklist you can indicate the desired execution time, the activities, the parts to be reserved and the tools to be used.
You as an user are warned every interval when the advice is to convert it into a work order. That way you will never miss a periodic or preventive action again.
The preventive planning and work orders are clearly arranged in the planning board. An overview can be generated per day, week or month. This can also be shown per employee or objects in a clear strip plan. The planning can also be edited here, items can be moved by a simple drag & drop action to another day or time. Items can be opened, edited and changed status here.

Define your part groups, create your parts. Various basic data are kept for each part (brand, type, minimum stock, prices, etc.). In addition, one or more warehouses (where can I find the part and how many do I have in stock) are linked to a part. Several suppliers can also be linked to each part. Prices, discounts, minimum order quantity and article number of the supplier can be saved and tracked per part supplier.
Parts that are already in TDOffice, or so-called “text parts”, can be purchased. Multiple parts can be ordered per purchase order. Each order line on a purchase order can have a destination, for example directly for a work order, an object, or a warehouse.
By issuing parts, the current stock is automatically calculated and the costs per object and / or cost center are tracked.
Parts can also be issued from TDOfficeMobile. The user then only has to scan the barcode or QR code of the part and indicate how many are used.
By booking hours a lot of data is easily collected. The hours per object, or costs, per employee, per cost center, per type of work order and much more are transparent. Hours can be booked from a work order (from both TDOffice and TDOfficeMobile), these hours are then automatically linked to the employee, the date / time, the work order and the object. One simple action that provides an enormous amount of knowledge and data to analyse. As a result, simply by making hourly bookings, statistics and analyzes can easily be made about the time spent per object. Costs can be automatically linked to an hourly booking in order to obtain a good overview of the costs.
In TDOffice you can create your own forms, for example for work permits and incidents. Since they can be completely designed by the user, it always fits the situation and requirements of your company. You decide which questions should be asked and how to answer them, whether it is a free entry, a yes / no question or a date question, all options are available. If desired, we can also provide forms that are already in use and designed by our existing customers.
Incidents can be reported by means of a notification. By linking a simple or extensive self-designed form to the notification, you can go deeper into the incident and secure all information. It is also possible to link documents and photos. By linking work orders to the form, you can also take actions to prevent the incident from occurring again.
By conveniently using the forms function, very complete and, if necessary, extensive inspection forms can be made. You can easely handle and edit these forms in TDOffice to record this properly.
All relationships can be recorded including their details such as emailaddress, phone numbers and address. It is also possible to keep track of the contacts for each supplier.
Objects, parts, meters, work orders and notifications can be given a barcode or QR code. These barcode or QR codes are automatically generated by TDOffice. As a user, all you have to do is print and paste them. If you want to generate the barcodes or QR codes yourself, this is of course also possible.

Meters can be created within TDOffice. The meter position can be updated per meter, this can be done very easily from your mobile. Only scanning the meter (using the barcode or QR code) and specifying the new position is sufficient. Periodic or preventive maintenance can be set up on the basis of this position.
In TDOffice, the user can completely set which user groups there are, which users (unlimited) are in a user group and what rights the user group has. Can someone create, delete, edit or open an item? All this can be set easely per function. In addition, various exception rights can be set to set up TDOffice entirely according to your own wishes. You can also fully manage which questions / fields must be filled in when, for example, making a notification, hourly bookings or a work order. In this way you as an user are completely in control of what and how much you want to see and use from TDOffice. You’re also in control of all the data, for example which priorities you would like to use. Or you can create your own user tables which can be used in work orders or objects. You’re in total control of everything in TDOffice.
Via our API (Application Programming Interface) we are able to set up our IIoT (Industrial Internet of Things) strategy. All information from external sources (for example PLCs, sensors, etc.) is processed in TDOffice and / or OEEOffice. This results in a warning by means of a notification, or an action that must be taken in TDOffice and / or OEEOffice.
In short, by connecting your objects to our API with PLC and / or sensors, you are better informed about what is going on in your organization. For example, a stagnation in a production line can be detected, reported and remedied in time in this way. It is sometimes even possible to respond preventively to problems that may occur.
E-mails can be sent via the Alerter in response to events registered in TDOffice. For example, an email is sent to the safety manager when an incident has been reported. Or, an e-mail is sent to technicians when they are assigned to a work order.
Pre-set triggers generate e-mails that are automatically sent to the specified e-mail addresses. For example, a trigger can be set to date to simplify and improve date monitoring. The text of the automatic e-mail can be determined in advance and you can determine this yourself.
We have a very extensive report set available for TDOffice. All reports ever conceived and created for our existing customers are available free of charge. This means that our reports are extremely close to practice and that you do not have a price-technical obstacle to use them, which is great. For example, there are reports to calculate the MTTR and MTBF, but also reports that show the warehouse value, standstill per line / object or the cost per line / object. In total, we currently have more than 100 reports that are free to use for all our costomers. In addition, TDOffice contains a dashboard with various information.

With a mobile or tablet in hand, you have access to the most important items and current data anytime, anywhere. Your employees can work much more efficiently with TDOfficeMobile, because notifications and/or malfunctions can be requested and adjusted directly from the field.
The following functionalities are currently in TDOfficeMobile:
You can easily enter notifications (for example malfunctions) from your phone and directly add attachments such as photoes.
All open notifications, or only your own, can be adjusted and viewed. In addition, you can convert the notifications from TDOfficeMobile to a work order and immediately pick it up and resolve it.
You can create, assign and solve a new work order from the app.
The work orders assigned to the user are easily accessible via the ‘My work orders’ menu option. Work orders can be opened, edited and reported as completed. In addition, work, hour bookings, part issues, employees, files and photos can be added to a work order. All open work orders can also be viewed to monitor the complete overview.
Stock adjustments can easily be made to simplify a warehouse count. Just scan the part, make a correction and you’re done. No complicated searches are necessary.
The object data and the history of the object can be viewed. In this way, the user can find a (solved) problem on the factory floor and use the knowledge available in TDOffice to solve a problem even better and faster.
Meter readings can also be updated. Scan or search for the meter, enter the new position, and you’re done. It can be that simple.
The user-friendliness of TDOffice is also reflected in the app.
